How to Add a Signature to a Word Document

Adding a signature to a Word document is slightly less straightforward than signing a PDF, but there are three free methods — one of which requires no software at all.

Method 1: Convert to PDF first, then sign (recommended)

The simplest approach with no formatting risk:

  1. Convert your .docx to PDF using our free Word to PDF tool.
  2. Open the PDF in Signvert.
  3. Draw or upload your signature, place it on the document, and download the signed PDF.

This method works on any device, requires no software, and produces a signed PDF that cannot be easily edited — which is usually what the recipient wants.

Method 2: Insert a signature image in Microsoft Word

If you specifically need a signed .docx file:

  1. First, create a signature image using our free Signature Image Generator. Download it as a PNG.
  2. In Word, click where you want the signature.
  3. Go to Insert → Pictures → This Device and select your signature PNG.
  4. Resize and position the image as needed.
  5. Save the document.

This embeds the signature as an image. It looks correct but can technically be removed or replaced — it is not a cryptographic signature.

Method 3: Use Word's built-in signature line (Windows only)

  1. Click where you want the signature in Word.
  2. Go to Insert → Signature Line (under the Text group).
  3. Fill in the signer's name and title, then click OK.
  4. To sign it, double-click the signature line and draw or type your signature.

This creates a visible signature placeholder and supports digital certificate signing, but requires Microsoft Word on Windows and is not widely used outside of corporate environments.

Which method should you use?

For most purposes — submitting a signed form, returning a contract, signing an HR document — Method 1 (PDF) is the best choice. PDFs are universally accepted, the layout is locked, and the signed file cannot be accidentally edited. Only use Method 2 or 3 if the recipient specifically requires a .docx file with a signature.

What about Google Docs?

Google Docs does not have a native signature feature. The easiest approach is to download the document as a PDF (File → Download → PDF), then sign it using Signvert.
